Why the question has a misleading answer
The first question any agency owner asks is what a real estate CRM costs. It is a fair question, but the number on the pricing page is only part of the answer. The real cost combines subscription, implementation time, data migration, training, and above all the cost of choosing wrong and having to start again a year later.
The pricing models you will meet
Per user, per month
The most common. It scales naturally with the team, but you also pay for rarely used accounts, which hurts agencies with collaborators rather than employees.
Per agency package
One subscription covering a range of users. Predictable, and favourable for small teams because each added agent costs nothing until the next threshold.
Subscription plus consumption
A fixed platform fee, with resource-heavy operations — AI photo processing, text generation, valuations — billed separately, usually as credits. This is fair when credits are optional and the platform works fully without them; it becomes a trap when core functions sit behind consumption.

The costs that are not in the quote
Implementation and migration
Someone has to clean and import properties, contacts and history. Ask explicitly whether import is included and in which formats. The practical steps are in the migration guide.
Training
A CRM that agents do not use costs infinitely more than a cheap one they use daily, because it produces nothing. Budget a few hours and check whether the vendor provides them.
Separately billed modules
Portal publishing, agency website, contract signing, advanced reporting or API access may be included or may be extras. List what you actually use and ask for the price of that package.
Portal subscriptions
Portal fees are separate from the CRM and are often the larger monthly expense. A CRM automates publishing to them; it does not replace them.
Calculating whether it pays
Compare the monthly cost with a single commission. If the subscription is a few tens of euro and an average commission is a few thousand, the question becomes simple: does the software recover at least one deal per year that would otherwise have been lost? A forgotten lead, a client not called in time or a listing republished late costs exactly that.
A second method: count the hours your team loses weekly on manual publishing, hunting for photos and reporting, and multiply by an agent's hourly cost. The result usually exceeds the subscription before you even count recovered deals.
Signs that a low price hides a problem
- You cannot test the platform yourself before paying.
- The contract is annual, paid upfront, with no exit.
- Data export is not guaranteed in writing. If you cannot take your data, you are not a client, you are captive.
- Support is billed hourly for problems that are part of normal operation.
Realistic budgets by agency size
Independent agent or a team of two: properties, contacts, portal publishing and a simple website. The budget sits below the cost of a single small ad campaign. See the guide for independent agents.
Five to fifteen agents: roles, permissions and reporting start to matter. Cost grows with users, but so does the time saved.
Multiple offices: team management and visibility between offices dominate. Price becomes secondary to the platform's ability to keep order.
Questions to ask before signing
- What is included and what is billed separately?
- Who performs the data import, and how long does it take?
- Can I export properties and contacts at any time, in an open format?
- Does the price change if I add or remove agents mid-month?
- What happens to my data if I leave?
